Vendor requirements

Thank you for your interest in participating in VegFest Kelowna 2020!

This year is going to be even more amazing than last year, the vegan movement continues to grow and plant-based foods are more abundant then ever! VegFest Kelowna 2020 will have fantastic vendors, engaging speakers, informative workshops, live musicians, lots of fun activities, kids crafts and delicious food! Thank you for your interest in participating in this inspiring event.

 

By registering vendors agree to the following:

  • Vendor products and food promoted and sold at the event must be 100% vegan

  • Vendors can start setting up at 8am and must be ready by 9:45am. Please do not pack up or tear down prior to 4pm (he event is from 10am to 4pm)

  • Vendor fees are non-refundable

Prices:

Early Bird Vendor Fees

(Early bird deadline is March 31)

  • 6 ft table space (indoor): $85

  • 10x10 ft booth (outdoor): $125

  • Food truck: $160 (limited availability)

Vendor Fees - from April 1st

(Deadline is April 30)

  • 6 ft table space (indoor): $120  

  • 10x10 ft booth (outdoor): $160

  • Food truck: $200 (limited availability)

  • 6 ft table space (indoor): $0 - Animal sanctuaries only

  • 6 ft table space (indoor): $40 - Not for profits only

To secure your spot, we require the following by March 31 (to be eligible for Early Bird pricing) or by April 30:

 

  • Fill out the registration form below

  • Make your payment online (link to payment page will be sent upon application approval)

  • The following documents scanned and emailed to us at vendors.vegfestkelowna@gmail.com
    - Proof of insurance (Liability Certificate naming Immaculata High School and VegFest Kelowna as additional insured. If you have insurance, this is an easy request from your insurance company at no additional cost)
    - Food Permit as required (if applicable)  
    - Permit to Operate (For Food Trucks only)

Is your product 100% vegan?

*Please note that you if you answered "No", you will not be able to be a vendor, as all products offered at VegFest must be 100% Vegan.

Which booth do you prefer?

*Early bird pricing is only eligible if all vendor requirements are met by 31 March 2020. 

All Vendors must provide the following depending on booth selection:

  • 6 ft table space - table & table cloth

  • 10x10 ft both (outdoor) - table, table cloth, canopy and weights

  • Food truck (outdoor) - must provide own source of power (generator)

Each vendor is required to have liability insurance - will you be able to provide proof of insurance by March 31?

Please email your liability certificates to:

Alternatively if you would like to you can submit your vendor insurance with your application by uploading the file below.

Will you be selling and/or sampling food at the event?

*Sampling/Selling food may require a permit. Please go here to review the Interior Health guidelines.

According to Interior Health guidelines (see link above) which of the following applies to you?

*Please review the permit requirements for your selection made in the previous question: 

  • Option B - Provide letter of confirmation from Interior Health by March 31, 2020

  • Option C or D - Apply and provide a Temporary Food Permit by March 31, 2020

  • Option E - Comply with the City's list of local requirements (link here) and provide permit to operate by March 31, 2020

All letters of confirmation/permits must be emailed to

vendors.vegfestkelowna@gmail.com by March 31, 2020

Is power required for your booth? (limited, applicable to indoor vendors only)
Are you willing to donate non-perishable product(s) or gift cards/coupons/vouchers?

*VegFest Kelowna is a not for profit event - these much appreciated donations would go towards door prize(s), thank you gift baskets, goody bags etc.

If you ticked "Yes", firstly thank you so much! Secondly we will be in contact with you for more details.

*Please review the following vendor conditions:

  • Vendor fees are non-refundable

  • Vendors can start setting up at 8am and must be done by 9:45am, do not pack up or tear down prior to 4pm (The event is from 10am to 4pm)

  • VegFest Kelowna is striving to be as zero waste as possible. We encourage you to use packaging that is reusable, compostable and/or sustainable. Plastic bags, cups, straws, cutlery, plates and styrofoam will not be permitted. Exceptions being, if you require plastic for pre-packaged food items due to Interior Health requirements (please note that you will be responsible for collecting and removing/recycling this packaging offsite). VegFest Kelowna will be encouraging attendees to bring their own cups, plates and cutlery
